Virtual posters may be accompanied by short recordings and include a discussion area to engage with the author(s) and each other. During the period of the virtual symposium, invited speakers, committee, and symposium participants will post comments on the posters. Poster presenters will be able to respond to those comments.

Virtual posters should be a single page or slide that summarizes your research (PDF files only). Presenters are permitted to highlight related resources meant to direct people to by including them as hyperlinks directly in the posters. Several technical arrangements regarding poster presentations are specified below:

  1. To avoid exceeding the available space size, poster size should be A1 (594 x 841 mm or 23.4 x 33.1 in). Poster should be a single page or slide, saved as a PDF file.
  2. The poster must be written in English and the length of manuscript is about 800-1000 words.
  3. The poster follows the following divisions: a title, names of authors and institutions, abstract, introduction, materials and methods, results and discussion, conclusions, and references.
  4. Specifics regarding font size and layouts may be accessed at Poster Template PDF. In general, there is no restrictions on colors and font choice.
  5. If presenters wish to, the poster may be accompanied by a recorded audio/visual file describing the poster. Several technical arrangements regarding the audio/visual file are specified below:
    1. Recordings should be saved as .MP4 and .mov files only
    2. The recording should be at maximum 4 minutes long.
    3. We strongly suggest that you supply a high-quality recording, based on the instructions below.
    4. We will display this recording with your poster on the symposium day.
  6. Posters and recordings submission deadlines are on September 27th, 2020.

Please ensure once more that you save your poster as a PDF file only while saving the recording as an .mp4/.mov file. If you are using PowerPoint, please save as PDF and .mp4/.mov format. Keep in mind that posters should be a single page/slide and the recording should be 4 minutes maximum.

RECORDING AUDIO/VISUAL FILE

Dearly invited speakers and presenters, please note that there are many such programs available and that we are in no way endorsing this particular product. It is, however, a powerful yet relatively simple tool that allows users to simultaneously record the webcam video of them talking and a video of whatever is happening on their computer screen, such as a PowerPoint presentation. Presenters are NOT obliged to supply this file. This is a simplified guide on how to record your audio/visual file to accompany your poster:

1. Record the presentation as a video consisting of presenter’s material and voice.

2. Show your poster as a single slide in full screen. Here is the link for your poster layout template in Poster Template PPTX

3. Presenters are not obligated to show their faces (such as via webcam).

4. When recording, we recommend using an external microphone, such as on a headset. Using the built-in microphone of your webcam/laptop is also acceptable, only if presenters ensure minimal ambient noise.

5. With your presentation open, on the Slide Show tab, click Record Slide Show. You can choose whether to start on the current slide or from the beginning. Be careful of the Clear command as it deletes narrations or timings.

6. In the Record Slide Show box, check or clear the boxes for your recording preferences, then click Start Recording.

7. On the beginning and the end of the video, record a 10-second silent time (before the introduction and after the presentation). This will make it easier for us to edit and incorporate your recordings into the platform.

8. Introduce yourself briefly and present your paper during the next 3 minutes. In total, your recording (including silent time) should not exceed 4 minutes.

9. At the top left corner of the window is the Recording toolbar, which you can use to:

  • Go to the next slide:
  • Pause the recording:
  • Start over/re-record the current slide:

10. You can use your common Microsoft PowerPoint pointers (e.g. ink, eraser, or the laser pointer) as usual.

11. To end your recording, right-click the final slide and click End Show.

12. To save your recording as a video, toggle the menu and click Export. Choose the option Create a Video, opting for Full HD (1080p).

13. Do not forget to click the Use Recorded Timings and Narrations

14. Lastly, click the Create Video

15. Save your video in MPEG-4 Video (*.mp4) format and name the file using the format “Poster presentations – your topic – Submission poster ID number – poster title”.

17. Before submitting, we recommend sending your video to your friends or colleagues for review and ask them to confirm that the audio is clear.
